  1. Use the payment instructions on the approved offer. Edifia verifies cleared funds and confirms the appointment and access arrangements.

  1. Review completion photos, the work record and any outstanding items. Keep the invoice and warranty with the property, and arrange ongoing care where useful.

Use a free tool, then keep the result

Prepare one useful record before you commission work. These tools do not create bookings, certificates or invoices.

2.1

Make a checklist, estimate or handover

  1. Open Free tools. Choose a property checklist, maintenance calendar, condition inspection, photo organiser, materials calculator, repair budget, quote comparison or handover.
  2. Enter your observations, measurements or confirmed dates. Show the result, then download it or choose Save to my property.
  3. Sign in in the same browser tab, review the report and choose an authorised property. If an email link opens another tab, return to the original tab after signing in and open /me/tools.

What should happenA report is saved in the property Care book. No service is purchased.

Photo previews stay on your device. Upload originals separately in private Documents (maximum 4 MB per file). Calendar imports are snapshots, not a live calendar subscription.

2.2

Give equipment a useful service history

  1. Open a property, then Equipment. Add the item, then choose Open service book.
  2. Record its label, model, serial, next date and the source of that schedule. Choose a completed service only when it has happened, and name the provider. Upload the service report in Documents.
  3. Print the QR label if useful. Scanning it still requires an authorised account. Select Request help for this equipment to include its saved details in the request.

What should happenThe next request reaches Delivery with the equipment context, and its dated owner-entered history remains available.

Recording a service does not certify it, settle an invoice or close a job. An independent provider can be recorded too.

2.3

Account for materials and removed items

  1. As assigned crew, open the job in your workspace. Delivery can also open its job record.
  2. In Materials & removal, record the item, quantity, unit and whether it was ordered, received, used, returned or removed.
  3. For removal, record the recipient or destination and collection/disposal reference. Attach evidence through the existing job evidence tools. After acceptance, evidence is locked until the authorised correction process reopens it.

What should happenThe customer and team can review the same material movement history.

A movement note does not authorise procurement, add a charge, establish stock balance or prove lawful specialist disposal.

2.4

Keep a copy of your records

  1. From your property dashboard choose Export my data. The download includes equipment and the care/service/material records for properties you can access.
  2. Keep private exports securely. Do not share the full file with a person who should only receive a single report.

Start with the care your property needs

You can enquire before creating an account. A care enquiry asks the team to review the need; it does not book a visit or activate a subscription.

3.1

Choose a check, ongoing care or a repair

  1. From Our services, choose a property check, ongoing care or repairs and improvements.
  2. Read the page for your situation: homeowner or landlord, owner abroad, office or shared building.
  3. For ongoing care, review the visit schedule, coordination allowance, reporting and exclusions that need agreement. Prices and delivery arrangements are confirmed in a written offer.

What should happenYou know which service you want to discuss and what needs to be agreed.

3.2

Send a property enquiry

  1. Choose Discuss my property. Enter your contact email, location, situation and the help you need. Phone is optional.
  2. If the property is outside the named areas, select Another area and describe the actual location; this does not promise coverage.
  3. Send the form and keep the displayed reference. The enquiry enters the delivery team’s New work requests queue. The team can read your contact details and follow up after reviewing availability.

What should happenThe saved enquiry gives the team enough context to review the next step.

The confirmation means the enquiry was saved. No visit, price, response time or recurring charge is confirmed, and an automatic message is not promised.

3.3

Keep your first enquiry in your account

  1. After the enquiry is saved, choose Keep this request in my account. Sign in and verify the same email you entered, using the same browser.
  2. In Saved enquiries, review the original information. Select a property you are authorised to report for, or keep the enquiry in your account while the property record is prepared.
  3. Confirm that it is your enquiry and save. Keep its reference; you do not need to submit the same request again.

What should happenThe original enquiry is linked to your verified account, with an optional authorised property.

The browser receipt lasts seven days. If it has expired or you changed device before connecting the enquiry, give Edifia the reference for an access review. Work that has already progressed may need staff review before property linking.

Start with the right account

A workspace is a view of the records you are allowed to use. Choosing a role in this guide does not grant that role.

4.1

Sign in or create an account

  1. Open Sign in. Use email and password, or an available provider displayed on the page.
  2. New users choose Create account and follow the email verification message. Return to the same intended account journey after confirmation.
  3. Use the identity that was granted access to the property, contractor application, shop or staff workspace.

What should happenYour verified identity opens its authorised workspace.

Google appears only when configured. Phone-code delivery is not currently active; the house and contractor account routes use verified email instead.

4.2

Choose your workspace

  1. Open My workspaces to see the activities your verified account can use. One account can have home, workplace, shared-property, contractor, supplier and staff access when granted.
  2. Use Working as / Switch workspace to change activity. In a property overview, choose Show this place to narrow the records, then Update overview. Account tools labelled all authorised properties retain their wider scope.
  3. If an activity is missing, use All workspaces & add a role or ask the appropriate administrator to check your membership. Choosing a purpose on the public website does not grant private access.

What should happenYou use the appropriate workspace and property without creating another identity.

4.3

Use this guide while you work

  1. Choose your role to narrow the chapters, or choose Everyone to see the entire workflow. Search for a task or a button label.
  2. Open a chapter, follow its steps, then use the workspace link when you are ready to act. Mark a step reviewed to save your reading progress on this device.
  3. Use Print / save PDF for a copy of the whole guide. On a shared device, clear your tutorial progress when you finish.

Your responsibilities and maintenance dates

Use the source agreement and confirmed equipment dates to identify the next action.

5.1

Review tenant and landlord responsibilities

  1. Open Responsibilities from your property dashboard.
  2. Read the clause, named party, source version and page. Mark it reviewed or flag a dispute if your access permits it.
  3. Open the source agreement before deciding who approves, arranges or pays. A newer document is a reason to revisit the earlier clause.

What should happenThe saved review status appears beside the authorised clause.

Basic clause matching is not AI liability determination. It can miss relevant text. Saved findings are free to view; no AI call runs just to open the page.

5.2

Find upcoming checks and servicing

  1. Open Maintenance & checks. Review the equipment service dates and document expiries recorded against your properties.
  2. Open the relevant property to confirm the equipment, source requirement and date.
  3. Request work when needed or configure a recurring maintenance offer.

What should happenYou have a visible schedule connected to the actual property records.

A reminder is not an inspection or certificate. Applicable intervals and qualified issuers must be confirmed.

5.3

Configure a recurring offer

  1. Open Plans & pricing and choose software, managed maintenance, building management or supplier shelves.
  2. Enter your situation, sites and preferred service arrangement, then describe what should be covered.
  3. Acknowledge the terms and send your requirements. Keep the saved reference for follow-up.

What should happenThe requirements enter the operations queue for a scoped offer.

This records your requirements. A paid subscription starts only after the final price, service terms and required authority are agreed.

Create and organise a property

Begin with an address and a verified contact. You can add supporting records gradually.

6.1

Create a free house record

  1. Choose Add a house or Create my free account. Sign in or create an email account and complete verification.
  2. Enter your name, house name, address and area. A contact phone is optional; no phone code is required for this route.
  3. Read the conditions and privacy policy, confirm your authority, then select Create my house record.

What should happenThe saved house opens in your private workspace.

House records are free with no cap. Commercial sites have paid plans. A new record does not order work.

6.2

Open the property and its records

  1. In Property overview, match the name and address, then choose “Property details”.
  2. Use that property’s sections for documents, units, equipment, people, work history and money. Keeping the right property selected prevents records being filed against another address.
  3. Upload documents to the property’s Documents section. After saving, reopen the record or download to check that the intended file was stored.

What should happenDocuments and work history remain attached to the selected property.

Private storage is connected. A file chosen in a form is not saved until the application confirms the upload.

6.3

Check who can use the record

  1. Open the property’s People and access section and review the listed people and roles.
  2. Use only the permissions controls available to your account. Confirm the intended person and scope before making an access change.
  3. If a property is missing, ask its owner or administrator to check the identity on the access record. Do not create a duplicate merely to get around missing access.

What should happenThe intended people can work with the records assigned to them.

A property record, shared file or handover does not establish legal ownership of the property.

6.4

Record work you arranged yourself

  1. Open “Work you arranged”. Find an address within your accessible records or select a property.
  2. Enter the completed work, the tradesperson or company and the date, then choose “Save work record”.
  3. Return to the property history to review the entry. Keep any supporting receipt or photo with that property.

What should happenThe property history includes work arranged outside Edifia.

A saved historical entry does not become an Edifia-approved job or an issued invoice.

Report a problem or request installation

Describe what you need. The office assesses it before a priced proposal is offered.

7.1

Submit a clear work request

  1. Open your property and choose “Report a problem”. Check the address, describe what you observed and add the room or equipment label and relevant access notes.
  2. Optionally add up to four JPEG, PNG or WebP photos. These ordinary reporting photos do not require paid AI. Your browser reduces large images before upload; follow any size error shown. A preferred date is a request, not an appointment.
  3. Submit and follow “Track my request”. If saving fails, the form keeps your details for a retry. Check the saved record before sending another report.

What should happenThe saved request, original photos and access brief follow the authorised assessment and assigned crew.

Customer photos are private and are separate from the crew’s before/after completion evidence. Reporting does not approve spending, book a visit or produce an AI diagnosis.

7.2

Start from a supplier product

  1. Open Marketplace. Search by product, material or area, and use the supplier filter if needed.
  2. Review the listed unit price, location, reported quantity and stock freshness. Choose “Request installation” for the product.
  3. Sign in if asked, choose the property, and use “Request installation here”. Review the carried-over product name and add the work details before submitting.

What should happenThe installation enquiry keeps the selected product in the property request.

This does not buy a product, reserve stock, guarantee availability or include installation in the unit price.

7.3

Review and track a store order

  1. Open a product in Store. Request its quantity and delivery address; add an installation enquiry if needed. The supplier confirms availability before Edifia prepares the offer.
  2. Open Product requests, then Review your offer. Check the actual seller, product, total, advance, delivery, warranty and return terms. Enter your name and accept only when these match your purchase.
  3. Return to Track your order for its financial and delivery status. Confirm receipt after all products arrive, or report an issue from the order.

What should happenYour accepted purchase and delivery record remain in your account.

A request is not a purchase. Acceptance reserves confirmed quantity but does not automatically charge you. The seller must provide valid payment instructions and the office must verify funds before procurement.

7.4

Follow the request and clarify the scope

  1. Return to Property overview and review the saved requests. Open Quotes when the office has prepared a proposal.
  2. If you need to correct a material detail or cannot give access, record an exception with the property and an explanation. Include the request or job reference when you have it.
  3. Do not submit duplicates because an email or text message has not arrived; first check the saved records in your workspace.

What should happenThe office can assess the current request and see the issue that needs attention.

Review the quote and the finished work

Customer approval of a quote and customer acceptance of the result are separate decisions.

8.1

Read and approve the written quote

  1. Open Quotes, choose the property’s proposal and review each scope line, quantity, price and stated total. Read the exclusions and who is supplying the work.
  2. Only a quote offered for signature shows “Review and sign”. Open it, read the consent, enter the required name and tick the consent only if you agree.
  3. Submit once and check for the signed status. If scope or price is wrong, request a correction before signing.

What should happenThe recorded consent allows the approved work to proceed to assignment.

TBD means a value has not been set; it does not mean free. A draft or blocked quote cannot be treated as approved.

8.2

Follow the assigned work

  1. Open Work & evidence and choose the job. Check its property, scope, visit information and current status.
  2. Review the before and after photos as they become available. Use the related quote to compare the work with what you approved.
  3. If access arrangements change or something is wrong, record an exception with the job reference and what needs to happen next.

What should happenYou can follow the work from assignment through evidence and review.

8.3

Review and confirm the result

  1. When completion evidence is ready, open the job and select “Confirm the result”, or open the customer acceptance link supplied for that job.
  2. Compare the evidence with the approved scope. Confirm only after reviewing the actual result. Use the issue or rejection option when the result needs correction.
  3. Return to the job record to check that your response was saved. The operator reviews completion separately.

What should happenCustomer acceptance or an issue is recorded for the operator’s review.

Opening photos, reading this tutorial or receiving a completion message does not automatically accept a job.

8.4

Understand the billing record

  1. Open Billing records and follow the record linked to the job. Check the supplier, amount and status.
  2. Keep the accepted scope, completion evidence and billing reference together when discussing a discrepancy.
  3. An actual payment must have supporting confirmation from the connected billing or payment service before being treated as reconciled.

What should happenYou can distinguish an internal billing draft from a live invoice and a confirmed payment.

Live Envoice invoice issuance and payment reconciliation are not connected in this release. A draft reference or a manually recorded status is not proof of payment.

Provider and crew: complete the assigned job

Use the assigned job link for the work sequence. Record evidence as the work happens.

9.1

Open the assignment and accept it

  1. Open the crew workspace and find the assigned job. Check the address and brief, then choose “Open the job link”.
  2. Read the assignment before selecting “Accept”. If you cannot take the job, choose “Decline” so the office can arrange another crew.
  3. Work only within the agreed scope. Refer a changed scope or additional work back to the office before proceeding.

What should happenThe assignment records whether the crew accepted or declined it.

9.2

Record travel and arrival

  1. Use “On the way” when travelling to the property.
  2. At the property, choose “I am here” and allow location access when prompted.
  3. If location capture fails or permission is denied, tell the operator. Any allowed exception must be reviewed through the work process.

What should happenThe job records its travel and arrival state.

Do not enter fictional coordinates for real work. Location permission problems do not justify claiming an arrival that did not happen.

9.3

Upload the before evidence

  1. Use “Add before photo” on the job. Take a clear overview and close view of the issue, with enough context to identify the work area.
  2. Save the photo and check that it appears on the correct job before relying on it as evidence.
  3. Keep private documents, access codes and unrelated people out of the photograph.

What should happenThe original condition is visible before the work is completed.

If an upload fails, retain the original photo and retry after checking the connection. A selected file has not necessarily been saved.

9.4

Record the materials and after evidence

  1. Complete the approved work, then use “Save materials” to declare the materials used. Record none explicitly when none were used.
  2. Use “Add after photo” to show the result, preferably from an angle comparable to the before photo.
  3. Check the saved evidence. Raise additional work or a discrepancy with the operator instead of silently changing the agreed scope.

What should happenThe job has a materials declaration and evidence of the completed result.

9.5

Save the safety check and submit

  1. Review the actual safety checks on the job and tick each only when it has been carried out. Choose “Save safety checklist”.
  2. Select “Submit” when the evidence requirements are satisfied. If it is locked, review the missing before/after evidence, materials, safety and location requirements.
  3. If the job is returned for correction, read the reason, correct the required record or work and submit again.

What should happenThe job moves to customer confirmation and operator review.

The crew does not close its own job. Customer confirmation and any required supervisor review remain separate.

9.6

Follow team assignments and statements

  1. Use the team view if your account has a team assignment. Otherwise use your personal job list.
  2. Review Statements for the records available to your account. Match a line to the job and its agreed billing route when querying it.

What should happenYou can track assigned work and recorded statement items.

A statement is not bank confirmation. Live payments and automatic settlement still require their connected services.

Supplier: register and maintain your catalogue

Your account owns your shop. You can prepare offers while verification is pending; only verified shops appear publicly.

10.1

Open your supplier workspace

  1. Choose Supplier from Get started and sign in with the email that should manage the business.
  2. Enter your business name, confirm your authority and accept the displayed conditions and privacy policy.
  3. Create the supplier workspace, then prepare listings while business verification is pending.

What should happenYour own supplier dashboard opens.

Registration does not start a paid shelf agreement. Only a verified business publishes public offers.

10.2

Create a product listing

  1. Choose Add a product. Upload up to six JPG, PNG or WebP photos, at most 4 MB each and 16 MB total. Enter the confirmed product name, price, sold-by unit and quantity.
  2. Add the category, variant, description, compatibility, warranty, lead time and delivery information. State whether the listed price includes applicable taxes. Your optional cost price is private.
  3. Save as Draft to prepare privately, or choose Publish after shop verification. Use Duplicate / add variant for another size or colour, give it a distinct name and confirm its own price and stock. Archive hides a listing from new buyers.

What should happenYour listing is saved with the selected visibility. Only published listings from verified shops appear publicly.

A photo does not establish specifications or stock. Confirm the actual details before publishing.

10.3

Update, preview and promote a product

  1. Select Edit listing beside the intended product. Save its changed details; if someone updated it meanwhile, reopen the latest version before saving. Reserved units cannot be removed by lowering the quantity.
  2. Choose Preview & promotion card for that product. Review the actual details, download the portrait card and copy its caption with the tracked product link. Draft products produce an internal draft card.
  3. Share only a verified published listing with confirmed details. After changing a price or availability, generate a fresh card and update earlier posts. Use Cancel editing to leave a form without saving.

What should happenYour shop can maintain products and create its own promotion material without developer help or a paid image-generation call.

Each account edits only its own shop. A suspended shop needs staff review before editing can resume.

10.4

Import products or refresh your stock

  1. Open Stock & bulk upload. Export your catalogue to update existing products, or download a blank template for new products. Keep the product identifier in exported rows.
  2. Upload the CSV and choose Preview changes. Review the product, price, branch and quantity. Correct any errors in the file, then preview it again.
  3. Choose Apply these changes to save the reviewed import. Preview alone never changes stock. If another update has happened meanwhile, preview again before applying.

What should happenYour catalogue is updated in one reviewed batch, without changing existing photos, warranties or private costs.

10.5

Respond to a product request

  1. Open Product requests in the supplier dashboard. Check the product, quantity and delivery location.
  2. Confirm actual availability and add an update with lead time or the next step.
  3. Save the response. The buyer sees it in Store requests. Edifia handles any separately requested installation scope.

What should happenThe buyer and supplier share the request and availability update.

Availability confirmation does not reserve stock, issue a final invoice or collect payment.

Documents, leases, scans and equipment

Review source material before confirming extracted information. A saved claim and the original document have different purposes.

11.1

Upload and review a lease or building document

  1. Open the lease workspace, select the property and choose the lease, amendment or building rule. Select “Extract for review”.
  2. Open the saved document and compare extracted fields with the cited page and original file. Correct a proposed field before selecting “Confirm selected fields”.
  3. If a field is missing or the source is unclear, leave it unresolved and obtain the relevant page or document.

What should happenConfirmed fields retain their connection to the source document.

Extraction availability depends on the configured service and readable input. The guide explains the software workflow; extracted text is not a legal determination.

11.2

Compare versions and keep correspondence as a draft

  1. In lease review, choose the reference document and proposed document, then select “Compare saved text for free”.
  2. Read the before/proposed passages and their page references. Check any warning about an annex that has not been verified.
  3. For correspondence, choose the building and kind, review the draft body and select “Save draft”.

What should happenYou have a saved comparison or draft to review.

Saving a letter does not send it or serve a notice. A comparison cannot confirm the contents of a missing annex.

11.3

Capture a receipt, equipment label or room measure

  1. Open Scan, choose the property and what you are capturing, then upload the photo or file. Add a barcode when available.
  2. Choose “Review extracted fields”. Check the proposed model, serial, seller or room measurements against the source. Enter or correct the confirmed details.
  3. Use “Save confirmed units” only after that review, then inspect the property’s equipment or room records.

What should happenReviewed information can be associated with the property and the relevant unit.

A scan result is a proposal until reviewed. An unreadable label or missing warranty source must not become a guessed fact.

11.4

Read the condition and history views

  1. Open the property record views. Review condition evidence, work history and upcoming items separately.
  2. Use the underlying document or job when you need to verify a finding. Record missing evidence or an open issue instead of inferring a clean bill of health.

What should happenYou can understand what is known about the property and what remains unresolved.

An empty view does not certify a safe property. No composite rating should be assumed from incomplete evidence.

11.5

Review a proposed record handover

  1. Open Handover and review the information and controls available for the selected records.
  2. Check which documents, open defects and other information would transfer. Review sensitive former-occupant information separately before sharing.
  3. If the required handover action is not available, keep the transfer pending and ask the office to review the record and permissions.

What should happenYou understand the proposed record transfer before it is treated as complete.

The current handover page is an information surface; do not assume that opening it performs a transfer. Records do not transfer legal title.

Plans, owners abroad, buildings and recovery

These specialist sections depend on their records, approved terms and connected services. A visible page alone does not activate a service.

12.1

Review scheduled care

  1. Open Plans to see what is published, then your care-plan workspace for the property’s existing plan.
  2. Read the price, property, visit schedule and terms before any start action. If a plan is unpriced, use “Tell me when priced” when available.
  3. Review any pause, cancellation or renewal controls against the displayed plan and its actual status.

What should happenYou can distinguish a priced offer, an active plan and a pending renewal.

Starting a plan depends on verification and approved terms. Do not assume an unpriced item or failed renewal is active.

12.2

Review authority for an owner living abroad

  1. Open the abroad workspace and review any mandate, delegated authority, limits and validity period shown for your property.
  2. Read proposed work and give the approval required for that proposal. A general mandate does not mean every cost has already been approved.
  3. Use the available revoke control if you intend to end that authority, then check the saved mandate status.

What should happenThe property record shows the authority and approval state being relied on.

A missing, expired or revoked mandate is a reason to pause dependent work and obtain an authorised decision.

12.3

Find committee and building records

  1. Choose the property from your workspace. If your account has a linked building and the required access, open “Committee desk”.
  2. Review the building’s calls, trust records and related documents in that context. Operators use the Syndics desk for the building work assigned to them.
  3. Resolve discrepancies against source records and the actual account held for the building.

What should happenYou can review the building-specific information your account is allowed to see.

Edifia does not hold rent or syndicat funds. A recorded call, balance or approval is not evidence that a bank transfer occurred.

12.4

Open and follow a warranty claim

  1. Open Warranty, select a confirmed equipment unit and describe what failed. Choose “Open claim”.
  2. Attach or retain the receipt, unit details and warranty source with the property. Review the claim’s saved status.
  3. The responsible reviewer records findings and the supported repair, replacement, denial or recovery outcome using the available controls.

What should happenThe claim has a recorded allegation and a follow-up path.

Opening a claim does not establish coverage, approve a refund or recover money. Record a recovery only after the supporting confirmation exists.

12.5

Share a referral deliberately

  1. Open Referrals and review your own referral link. Choose Copy, or open the available WhatsApp or SMS composer.
  2. Review the recipient and message before sending it yourself. Follow saved referral entries in the workspace.

What should happenYou can share the referral link and inspect its recorded activity.

Opening a share composer does not send a message. A referral record does not guarantee a reward; any reward depends on the stated approved conditions.

When something is blocked

Find the next useful action.

Use the saved record and the actual error to decide what to do next.

A sign-in or verification code does not arrive

Check the phone number and country code, any displayed delivery message and the wait period before retrying. Code delivery is not active until its provider is connected. Do not guess a code or create repeated property records. Email/password access is available for verified accounts; phone-code delivery remains inactive.

My property, job or shop is missing

Check which account you signed into. A property is visible only through its associated identity or permitted access; a crew job must be assigned to that crew; a supplier catalogue belongs to its registered account. Ask the record owner or founder to check the assignment. Switching the tutorial role does not switch accounts.

A photo or document will not upload

Keep the original file. Read the error, check the connection and the file requirements shown on that form, then retry and reopen the saved record. A filename beside an upload field is not confirmation that it was stored.

The crew Submit button is locked

Review before evidence, after evidence, the materials declaration, safety checks and arrival/location. Save each required item first. If a check cannot be completed, report the reason to the operator for review; do not invent evidence. Customer and supervisor reviews occur after the relevant work steps.

The result is wrong, access failed, or work must be cancelled

Use the customer response on the job when available, or open Exceptions, select the property, choose the issue kind and describe what happened. Include the job reference. The office must review the follow-up; recording an exception alone does not cancel an invoice or issue a refund.

My saved product is not visible publicly

Check the shop status. Pending shops can prepare offers, but a founder must verify the business before publication. A suspended shop is not public. If verified, clear marketplace filters and check the saved product name, price and stock. CSV validation alone does not create offers.

A billing record exists: has money moved?

Not necessarily. An internal draft or manually recorded collected status is not bank or processor confirmation. Live Envoice issuance and payment reconciliation remain unconnected. Resolve payment questions against the actual invoice issuer and supporting payment records.

A plan, building, abroad or handover section is empty

It may need an associated record, approved terms or additional access. An empty section does not activate a plan, grant authority, confirm building finances or transfer records. Follow the stated prerequisite; if no action is offered, leave the item pending for the responsible reviewer.

My tutorial progress did not save
